Measuring the right things?
With new funding to strengthen impact reporting, the first question was whether the organisation was collecting and measuring the right things.
More cohorts, more spreadsheets
As the number of cohorts increased, so did the number of spreadsheets. Storage and analysis became tangled together.

Staff had to clean, merge and reinterpret datasets by hand every week.
No time to pause
The team knew it needed something more robust, but couldn't pause programme delivery for a full migration.

What we did
Audit
Reviewed data collection and reporting from end to end, analysed the data in detail and set out the gaps in a report shared with the funder.
Automate reporting
Reporting was highly manual, so we built a custom tool that automates key parts of it.
Improve what exists
Redesigned the spreadsheets and data flows without changing the tools, which delivered quick wins.
Move to a database
Data is now pulled automatically from all sources, while the improved spreadsheets kept running in parallel.

Dashboards and reports update themselves as new cohorts join, and staff can produce impact reports themselves.
